Why it matters

Payroll you can trust, close after close

Configurable payroll that reads approved attendance, leave and overtime, and shows its working on every payslip. Salary holds, loan instalments, arrears and advances are handled in the same run, so closing the month stops being a project.

  • Calculated, not typed

Pay comes straight from approved attendance, leave and overtime, so nobody re-keys hours or days into a spreadsheet.

  • Every number explained

Open any payslip to see gross, overtime, tax, each deduction and net pay, line by line, with the working behind it.

  • Nothing paid by accident

Every run moves from Draft to Processed to Paid, with approvals and holds in between, so money only moves when you say so.

01Pay rules

One setup for every rule your payroll follows

Keep your pay schedule, payslip items, tax rules, overtime, automatic deductions and retirement-fund policy in named payroll setups. Run different groups on different rules, and copy a setup to start the next one.

  • Monthly, weekly, bi-weekly, twice-a-month or bi-monthly pay schedules
  • Monthly, daily and hourly salary types, with 11 ways to value a day's pay
  • Progressive tax slabs, plus a flat rate or tax exemption per employee
  • Assign any employee to the setup that matches their contract

02Attendance in, deductions out

Lates, absences and overtime handled by your rules

Nexa People reads the month straight out of attendance. Approved leave turns would-be absences into leave days, holidays and weekends are skipped, and your deduction rules decide what a late or a missing punch costs.

  • Deduction rules per attendance flag, from a quarter to a full day's pay
  • Overtime paid only from approved requests, at your rate per category
  • Pro-rata pay for joiners and leavers, calculated automatically
  • Employee and employer retirement-fund contributions on every slip

03Salary holds

Hold a salary, and release it when you're ready

Put an employee's salary on hold from a date you choose. Their net pay is withheld on the payslip until the hold is released, and the released amount is paid on their next payslip, so nothing is lost and nothing is paid twice.

  • Withhold net pay from a set date, one open hold per employee
  • Released holds paid automatically on the next payslip
  • Held and released amounts shown on every payout view
  • Held salary counted in the final settlement if someone leaves

04Loans, PF and requests

Loans that recover themselves, on every payslip

Approve a loan and it's paid out on the payslip, then recovered in instalments month by month, with adjustments when terms change. Provident fund contributions build a real ledger, and withdrawals are only approved when the fund can cover them.

  • Loan payout and monthly instalments straight on the payslip
  • Loan adjustments that change the amount or the instalments
  • A provident fund ledger built from every payslip
  • 16 payroll request types, each auto-approved or routed for sign-off

05Pay revisions and advance vacation

Raises, arrears and vacation pay, without manual fixes

Salaries change through an approved pay revision, never by editing the number directly, and any increment arrears are paid once on the next payslip. HR can also pay vacation in advance, with or without the days worked so far, and payroll recovers it correctly that month.

  • Salary changes made through approved pay revisions
  • Increment arrears paid once, even if a month is re-run
  • Advance vacation pay for the vacation days, or plus days worked
  • Approve, hold and pay with Draft, Processed and Paid statuses

Questions about payroll

Anything else? Talk to our team.

Pay schedules can be monthly, weekly, bi-weekly, twice a month or bi-monthly, with your own period start and end days. Employees can be paid a monthly salary, a daily wage or an hourly rate.

From the tax slab grid in your payroll setup, applied progressively so each bracket only taxes the income inside it. You can also give an employee a flat tax rate or mark them tax-exempt. Tax tables are configured to match the country you pay in.

Whatever your rules say. Each attendance flag can have its own deduction, from a fraction to a full day's pay, with exemptions and frequency. Weekends, holidays and approved leave are excluded first, and days that haven't finished yet are never charged.

Yes. Keep several named payroll setups and map any employee to the one that fits. Anyone without a mapping uses your default setup.

Employees request them from self-service and each request type can auto-approve or wait for sign-off. Once approved, the loan is paid out on the payslip and recovered in monthly instalments on the following payslips, with loan adjustments when the amount or instalments change.

Yes. Put a salary on hold from a date you choose and the net pay is withheld on the payslip until the hold is released. The released amount is then paid on the next payslip, and a held salary is included in the final settlement if the employee leaves.

Salaries change through an approved pay revision rather than by editing the number. If the revision is backdated, the increment arrears are paid on the next payslip, and only once, even if a month is re-run.

Yes. HR can pay an employee's vacation before they leave, either the vacation days only or the vacation plus the days worked so far that month. The worked days are recovered on that month's payslip automatically.

Yes. Employees can view their payslips with earnings, deductions, year-to-date totals and leave balances, and download them from the mobile app.
